work x work seeks an Executive Assistant to support business development and creative leaders within our Brooklyn office. This trusted advisor and point of contact for internal and external communications will play a key role in our company's growth across branding, content, campaign and events services, and the expansion of our podcast and storytelling festival, On Air Fest.

Providing direct administrative and creative support, you will be in charge of helping us work more efficiently by handling calendars, pulling together business reports, data entry, managing accounts and platforms, helping coordinate creative sessions, liaising with other teams, clients, prospects and more.

The ideal candidate has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication skills and is able to maintain a realistic balance among multiple priorities.

This role will be expected to work out of our Brooklyn office in a hybrid capacity.

Manages an active calendar of appointments, and prioritizes conflicting needs
Assists with business administrative tasks including expense reports, data entry, invoices, billing, basic bookkeeping, and more
Works independently to complete routine departmental tasks including, but not limited to, various correspondence, preparing and updating recurring internal reports, forms, tables, pamphlets, etc. from rough draft, handwritten notes, or verbal instructions.
Maintains and updates department files, records and publications as needed
Manages coordination of larger team events, programming, client meetings, etc. which can include deck and agenda building, communications ahead of meeting to ensure all parties are prepared, checklists and more
Joins business and creative meetings to take notes, identify action items, and craft project plans to advance
Manager day to day office needs including incoming mail and correspondence and ensure the office is always fully equipped and functions smoothly.

The ideal candidate:
1-3 years of experience supporting executives, preferably in a creative agency, events or media environment
Proficient in Google Drive, Calendar, Docs, Slides, Sheets, Quickbooks, Slack, Monday and Microsoft Office (or can quickly pick things up)
Works collaboratively with internal and external stakeholders
Displays professionalism and “grace under pressure”
Keen ability to prioritize workload and meet deadlines.
Detail-oriented and highly organized.
Excellent written and verbal communication skills.
Anticipates needs and creates effective processes.

Exact compensation may vary based on skills and experience.
Base Salary $55,000-$65,000
